Trip To Peak extends its heartfelt gratitude to its valued clients for considering us as their choice among the sea of trekking agencies in Nepal. We are committed to accept you as our client and provide you the best service under the following terms and conditions.
First and foremost, an advance deposit of 25% of the total price that includes domestic flight tickets, hotels bookings, permits and overall trek cost depending on the trek will be necessary once you’ve confirmed the booking with us.
Secondly, we will need a photocopy of your passport and details (Full Name, Contact Info) of you or your group leader for identification and pick up from the airport upon your arrival. After we receive 25% advance payment and the photo copy of your passport, we will send you a final confirmation receipt.
The full payment must be made before the start of the respective trips, and the payment can be made by wired bank transfer, western union, money grams, or credit card. Please, use any means of transfer according to your convenience.
Bank service charge should be paid by the clients themselves at the time of deposit.
In addition clients can make a payments by credit card. For the payment by credit card we only accept Master Card and Visa Card, and 3.5% extra will be paid by the clients themselves as a card processing fee.
Cancellation Policy
If you ever need to cancel a booked trip due to whatever circumstances, then the following charges will be incurred. The rest of the money will be refunded as per our cancellation policy.
Less than 60 days in advance: 20%
Less than 45 days in advance: 25%
Less than 30 days in advance: 50%
Less than 15days in advance: 75%
Less than 10days in advance: 80%
One or after the starting date: No refund will be made.
Porter Weight Limit
Porters play a big part in making your trip more comfortable and enjoyable. However, they are humans too! So, please note, the limit for what a porter can carry on any trip is 20kg. It does not matter a bit less or extra weight. Your porter further has to carry his own bag of 4-5 kgs extra. So, please thoughtfully decide what you intend to bring on the trek with you. The hotels and lodges will also offer the service of a luggage storeroom so you may leave any non-required items of clothing, footwear, and personal items in a spare bag with them.
Trip Postponing or transferring Policy
Incomplete Trip or Early Return
Occasionally, it is sometimes the case that trekkers finish ahead of schedule or return early from their trip for a variety of reasons. In these cases, payments are non-refundable because we are obligated to pay our guides and porters for the number of original days booked.
Last Minute Booking
We also accept last minute booking. You can book a trip to Nepal a day before the trip departure dates. However, in the case of the Everest Region, especially during the peak seasons we suggest booking your trip at least a week prior, mainly because of the flight bookings.
Travel Insurance
We strongly encourage our clients to have comprehensive travel insurance that covers all the medical expenses, emergency helicopter evacuation, personal accidents, medication, natural distress, loss or damage to gears/baggage or other personal belongings. We suggest that you check your insurance policy and ensure that they will cover all costs upfront in any such cases mentioned. Some insurance policies will cover trip interruptions. Such policy is helpful in the occasion your Lukla flight is canceled and you end up having to book a helicopter or even have to rebook your international flight.
Our team will assist you in obtaining any documentation requested by your insurance provider. You must make sure to mention all of these items and terms to your insurance provider to assure you get the appropriate coverage. It is mandatory to get a hospital report in Nepal as soon as you get discharged from the hospital if you want to make an insurance claim. Oftentimes, trekkers with altitude sickness feel better once they get to a lower elevation, but it’s important to get the proper medical documentation for claims. The hospital will charge you a fee for the medical report required by your insurance.
Domestic/International Flight Delays and Cancellation
Please note that the weather in the Himalayas is always unpredictable. Flight delays and cancellation are much common and aviation schedules are not as reliable as you might expect. It can be delayed for some hours or even be canceled for the whole day. Should there be any delays or cancellation of flights, the client is liable to bear the cost of any additional meals and nights in a hotel. However, flight tickets purchased will be fully refunded in such a case of weather conditions. Therefore, it is advisable to carry some extra money for additional meals and accommodation.
We always recommend our clients to add at least 2 or 3 extra days to the end of your trip. This will give you some flexibility in the case of any interruptions so that you will not have to miss your international flight.
